# Prizes and Event Materials

Set accurate expectations for event materials, physical prizes, and digital gift cards.

Your event approval or onboarding materials will explain what MLH expects to provide. Availability, shipping eligibility, partner assignment, and event timing may affect whether your event receives physical materials.

## Before the Event

Confirm:

* The delivery address and receiving process
* Whether MLH expects to ship an event pack
* Which partner categories apply
* Whether winners should expect physical prizes or digital gift cards
* Who will securely store and distribute any delivered materials

When sharing prize details, use the format confirmed in your event onboarding materials.

The relevant [partner program page](https://github.com/MLH/mlh-hack-days-organizer-guide/tree/main/partner-details/partner-details/README.md) describes the prize normally expected for each category. Your event approval and onboarding materials take precedence if the available prize has changed.

## Event Materials

Depending on availability, an event pack may include:

* MLH logo stickers
* MLH season stickers
* “Hack Day—I Demoed” stickers for hackers who present projects
* MLH partner swag
* Physical partner prizes

Distribute materials according to the event's onboarding instructions. Do not substitute one partner's materials or prizes for another category.

MLH handles or reimburses customs duties on event packs, so organizers should not be out of pocket. If you are asked to pay a charge on delivery, keep the documentation and email <hackdays@mlh.io>.

## Physical Prizes and Digital Gift Cards

Some winners may receive digital gift cards after the event instead of physical prizes. Before announcing results, explain only the prize format confirmed for the event.

Follow [Closing Ceremony and Winner Declaration](/run-your-event/closing-ceremony-and-winner-declaration.md) for the required workflow. Confirm that the correct project is marked **Winner** under each partner challenge so MLH can follow up when required.

## After the Event

* Keep undistributed materials secure.
* Follow the onboarding instructions for unused or restricted materials.
* Do not independently purchase replacement prizes with the expectation of reimbursement.
* Direct winner questions about delayed or missing prizes to <hackdays@mlh.io> with the event name, category, and recorded winning project.
