# Photos and Event Summary

Submit useful, consent-aware event photos and complete the Hack Day event summary.

Assign one organizer to own event closeout before the Hack Day begins. That person should collect the photos, confirm OrganizerHQ records, and submit the event summary using the link or workflow in the event's onboarding materials.

## Before Taking Photos

Follow the venue's consent, privacy, and guardian-permission requirements. Identify attendees who do not consent to photography and make that status easy for the photographer to respect.

Do not publish attendee names alongside images without the appropriate permission. Avoid photographing laptop screens, badges, or documents that expose personal information.

## What to Capture

Take a small, varied set of useful photos rather than hundreds of similar images:

* **Collaboration.** Teams brainstorming, building, and helping one another
* **Projects and demos.** Hackers presenting what they built, including hardware when appropriate
* **Opening and closing.** Speakers, the event setup, winning teams, and the group photo
* **Community.** Images that show the venue, participation, and energy of the event
* **MLH and partner presence.** Signage, slides, swag, and partner materials in context

## What to Avoid

* People who did not consent to photography
* Messy workstations dominated by food wrappers or waste
* Close-up headshots that do not show the event context
* Participants sleeping or otherwise appearing uncomfortable
* Heavy filters, watermarks, or effects
* Screens or documents containing private attendee information

## Complete the Event Summary

Use the event-summary link or workflow provided in OrganizerHQ or your onboarding materials. Be ready to report:

* Checked-in attendance
* Number of submitted projects
* Partner categories and confirmed winners
* A concise description of what happened
* Highlights, challenges, and organizer feedback
* Links or uploads for the requested event photos

Submit the summary by the deadline in your onboarding materials. If you cannot find the form or deadline, email <hackdays@mlh.io> immediately after the event.

## Closeout Check

* [ ] Every attendee check-in is complete in OrganizerHQ.
* [ ] Every presenting team submitted a project.
* [ ] Every MLH partner winner is confirmed in OrganizerHQ.
* [ ] Photos follow the event's consent requirements.
* [ ] The event summary has been submitted.
* [ ] Itemized receipts have been passed to the person submitting them.
